April 2010 Committe Meeting Notes

April’s Pack Meeting: “Spring into Action!” 4/29/10

·        Door duty: Bear den 16 (Laurie)

·        Table set-up (Due to the sibling & parent disruptions of previous pack meetings), we will…

1.    Remind family members that the scout sign is for everyone.

2.     Create 2 sibling tables and arrange as follows:

·        Gathering: Hand-out (Cathy)

·        Pack Notes (Since we are attempting to be as paperless as possible, we suggest den leaders forward the committee notes to their den families and encourage checking the web-site).  As discussed previously, this month there will fliers for the summer activities distributed so they can be returned in May.  In addition, although many activities are being planned for this summer, only those with fliers approved by the committee and distributed in April will count towards the summertime award.

·        Opening flag: Bear den 14 (Darren)

·        Awards/recognition: (John/Adam) The whole den will stand when members of that den are getting awards.  Audience will please hold their applause until the whole den has received their recognition items.  Also, since awards are called alphabetically, we ask that leaders to tap the scout/parent who is next to be called in their den.  (We hope this will help awards be distributed smoother & quicker.  Also, the Scouting for Food patches and Lock-in patches will be given to the den leaders for them to distribute to save time.)  As usual, the den leaders MUST email these items to Debbie by the Friday before the pack meeting.  (John will also explain due to issues like awards occasionally being out-of-stock, scouts might not receive the item that month even though it is announced as was the case with the video game belt loop last month.) 

·        Game: Akela says … (Laurie until Friends of Scouting arrive)

·        Friends of Scouting/Game: Lawn mower relay (Parents will be with Friends of Scouting while some leaders play game with the scouts & siblings.  Two options: Dens will be paired up –4&14, 11& Rattlesnake, 2&16   OR children will be lined up by size order and broken into teams.)

·        Closing skit about Thomas Jefferson (John & 10 scouts) (Den leaders please find volunteers and submit names/email to John so he can prepare them.  Tigers dens will submit 1 name but older dens will give 2 names.)

 

May

·        Door duty: Den 4 & Opening: Den 2 (Next year we will create a schedule to assure that all dens are called upon equally.)

·        Raingutter Regatta boats distributed (Debbie will purchase these this month to avoid any “out-of-stock” issues.)

·        Finances will be reviewed to determine what will be given as graduation gifts from pack (neckerchiefs, books, etc.)

·        Marlboro Beautification Day: 5/22

·        Committee meeting: 5/10

·        Quality unit form (normally we have waited until September but there is a push to complete before the July 25th parade in Washington, D.C. -- need to talk to Mary-Ann & have Leni sign-off)

·        Memorial Day Parade 5/31 Freehold (flags and drinks will be purchased for those marching)

·        Flags on Veteran’s Graves 5/29 (John & Tony Joswick)

 

Summer activities 

·        Even though dens should be meeting twice in June, there are no pack meetings after May until September. However, there are many optional fun activities to consider attending.

·         If a scout attends at least 1 pack-approved scout activity for each month of June, July, and August, he will receive a summertime award pin. (Cub Scout day and sleepover camps are approved as well as the activities whose fliers will be given out in April.)  To be fair, Cathy is trying to create an equal number of events for each month.

·        *Activities that do not have fliers in April should still be fun, but they will not count towards the summertime awards. 

·        Pack Picnic at Quail Hill 6/6 12-4pm (** See schedule of Raingutter Regatta, BB & Archery listed in the misc. section of these notes.)

·        Battleground District’s Family Camp at Quail Hill 6/12-13

·        Trenton Thunder Game 7/2 (Debbie)

·        Beach Day 7/17

·        Centennial Scouting Parade in DC 7/25 (The RSVP date is 4/9.  Whoever is interested has to submit their names to a lottery on the MonmouthBSA.org website.  We are limited to 19 youths and 2 adult marchers per pack. Please be aware that any marchers have to wear COMPLETE BSA uniforms.  This includes pants.   If you have any questions, please contact Edwina@optonline.net).

Other news

·        Scouting for Food was quite low this time and there was a high percentage of expired food items that had to be thrown away.  We need to inform people that this is the time food banks are the most low and to please check expiration dates.

·        Please consider visiting the scout museum at Genesi Drive as a local go-see-it.

·        Schedule for pack picnic:

All dens must have adults who have current BB & Archery certification to use the BB & Archery ranges.  Any family member who is 5 years or older can participate with their den.  Den must adhere to the following time schedule to be fair to everyone.  (Bring your valid certification with you since it must be shown to get the equipment and can be asked to be shown during the day at any time.)  Also, we ask if your den has the 12:20-12:50 shift, you help set-up that activity and the 3:15-3:45 shift help return equipment.  Yes, this is den 2, den 4 and den 11 both times but it is those same people who are helping den 16, den 14 and rattlesnake due to siblings so all dens have parents who are helping set up/shut down.  THANK YOU!

·        Since the Battleground picnic had low attendance last year due to its close proximity to the pack picnic, maybe we should consider moving the pack picnic.  Maybe we could do it in May and have the graduation outside, but then it would not count as a summertime activity.

March 2010 Committee Notes

Recap of B&G

The B&G was a huge success; thanks to all involved.  Heidi Yin has stepped up as a Rattlesnake parent to start planning next year’s.  The Pack Committee has requested that the B&G planning committee come to pack committee meetings to kept committee members in the loop.  (For future years, we will avoid crafts that involve markers since they can stain the table cloth and to prevent children from drawing with them on the floor and leaving marks there as well. The consensus was the pin wheels were hard to assemble, but the magic scratch offs were a huge hit.)

Anniversary celebration

Representing Pack 188 in the Battleground run-offs are O’Keefe (Tigers), Wasserman (Wolves), Gomez (Bears), Battaglia (Webelos I) and Edralin (Webelos II).  Good Luck!

Lock-in

Thank you Catherine for organizing such a fun and educational event!  Patches will be given to the den leaders at the Pack meeting who will distribute them to the scouts who attended.  These patches give the children free admission for a future visit.  IMPORTANT: Due to leaders having to speak to groups of boys throughout the night (past 1:30am) about their loudness, the new rule is that children of all ages must sleep near their parents.  It is not fair to the other families who are trying to sleep.

*All items of recognition should be emailed to Debbie Giordano by the den leaders on or before the Friday before the pack meeting, which is 3/12 this month. (ilvbears@optonline.net)

Pack Picnic 6/6 12-4pm

We need volunteers to help with purchasing food, cooking food, setting up, running games, etc.  Please ask non-leaders to consider helping out in any of these ways and pass these names (and the jobs they are willing to do) on to the committee members.  Laurie is organizing the schedules for BB, Archery, and raingutter regatta.  REMEMBER: Dens need 2 people trained in BB/Archery to work effectively.  The next training certification is 3/21 at Quail Hill 12-4pm RSVP to Joyce (732) 536-2347

Summertime events

In order for a scout to earn the summertime award, he must attend at least 1 “committee-approved” event for each month (June, July & August).  All events fliers will go out in April and will be returned in May.  Events will not be added afterward.

Going Forward

John was “checking-in” with each den’s leaders in terms of getting trained, being “Two-deep”, their stability, and their productivity.  Committee members discussed getting leaders to ask parents to help out when needed as well as meeting with leaders who previously had dens of their levels to give helpful input (as we did at Mary-Ann’s last summer.)  Also, Cathy discussed with the trainer from the last session on 2/27 the idea of a trainer coming to the pack.

March 11

Februray 2010 Committee Notes

As people gathered, leaders took advantage of this opportunity to display and/or share supplies from their den.

  • Connie showed the Rattlesnake flag (have cheer & excited about Klondike Derby on Feb 13th — we wish them luck!)
  • Mary-Ann showed coup-sticks and explained how she used them when she was a Webelos den leader.  She then passed 2 on to Connie and Laurie.
  • Mary-Ann brought rope for Darren and Laurie to work on knots with their dens.
  • Connie gave Cathy supplies she had previously used to make car slides.
  • Debbie brought extra craft supplies to pass on to Catherine/Laurie for the B&G.

 

     Recap of PWD – what worked, what didn’t:

·        Winners will go on to race at the District PWD during the Anniversary celebration weekend (April 16-18, probably Sat. morning)

The following scouts will be going on to represent Pack 188:

·        We need pictures of scouts who were not at PWD (Michael Awad, Gaurav Sahgal, Justin and Joshua Yee) to be used as B&G favors — each den leader will tell parent to take a digital picture of their scout in uniform with a solid background (green or blue would be ideal). Please e-mail the .jpg file to Mary-Ann by Feb 15th

·        We would like to thank you Mr. Puzon for taking pictures of all the scouts.  Perhaps he could be asked to be the pack photographer so we have more pictures to post on web site? (Connie will ask him)

·        Future PWD backgrounds- on NASCAR website, Mary-Ann saw one that looked like a postcard with 2 pictures (1st-scout 2nd-his car). Perhaps that is now an option since the cars’ pictures could be taken when they are handed in

·        Committee felt handing in the cars before the Pack meeting allowed the pack meeting to go much smoother and felt the voting was an excellent gathering activity.  We hope to avoid a holiday weekend next year for the drop-off dates (Since Defino’s theater week is now scheduled for March 11th, we will hopefully be back to having the PWD the last week of Jan. and the hand-in the weekend before.)

·        Laurie apologized for not anticipating the problem of cars being repaired during races and not being re-weighed. None of us realized the possibility that duct tape, glue etc. could possibly add weight.   She promises the scale will be at the PWD to re-weigh any altered car.

·        Laurie thanked all for being patient with her with the new rules  (wheels touching, height, bottom clearance*, etc).  She thanked Mary-Ann for the box that checks length & width and has a picture of what she’d like constructed to help check the other requirements easier so if there is a person with carpentry skills, please contact her if you can help.  She would really appreciate it. (lauriebg@aol.com) 

·        Mr. Haase who had been bringing his track every year while there was still a Landi in Pack 188 actually mentioned being willing to come back if Joe Landi came too.  If that happens the Pack should show their appreciation with a gift—maybe $50 gift card.

·        The pack got in trouble for messiness that the cub scouts left after the PWD despite the fact that ALL leaders felt that we left it cleaner than it was when we got there.  The janitor also got angry that we didn’t separate recyclables from garbage. We joked that we should take before & after pictures.  Next time we need to ask for or bring our own extra garbage bags.

Recap of Scout Sunday

·        Thanks go out to all who attended; Scouts very well behaved and kids really enjoyed the service.

·         Pastor Marv was happy with the nice showing to celebrate 10 years of sponsorship.  He was given a framed 5x7 picture of the pack and “Reverent” patch and printed note of thanks, but we should do more in the future.

 

Review of plans for B&G                                 

·        New “2010” rank badges will be given for scouts earning their rank

·        Also, Centennial Rings, Quality Unit and “A Year of Celebration” Awards* will be distributed to all scouts remaining in Pack 188 (*These are for ribbons that scouts and leaders can earn.) as well as to the leaders. 

·        Den leaders should be reviewing and making sure EVERYONE is on Track for receiving Rank at B&G.  New scouts who earned Bobcat will receive it.

 

Discussion of all Dens and Leaders to make sure all is going as necessary

·        Cub Scout Leader Specific Training – Feb 27th

·        According to council, the pack needs to have a person whose job is to keep track of everyone’s training (& when exp.) – Pack Trainer

·        Need to put out a sign-up list for parents at the B&G so parents know we need them to be involved.

 

Review from December meeting: Harry Cross was very surprised and upset to hear the ongoings back in December, which could cause us to loose our sponsorship since he is our liaison to the church.  We are part of BSA and need to follow its guidelines.

·        Leaders need to be trained, but many people who volunteered this year have not gotten the training.  Current Tiger leaders should be registering for Cub Scout leader training (which is good for Wolf & Bear).  Current Bear leaders should sign up for Webelos specific and Webelos outdoor training.  There is training for committee chairs and other positions too.  Also, youth protection, which can be done on-line expires every two years so must be re-done.

·        Leaders need to be in uniform.  Of the four tiger leaders, only one wears a uniform!  Also, there is a bear leader and two webelos II leaders who also don’t wear a uniform.

·        At the tiger level, the parent to scout ratio must be 1:1.  However, there have been parents who bring their scout and additional scouts.  Each tiger parents should also be planning at least one of the den meetings and an outing.

·        There needs to be 2-deep leadership.  The wolf den only has one.

 

  Discussion of transfer of Committee Chair responsibilities going forward

·        Cathy Navarro and Debbie Giordano have stepped up to share the responsibilities of Pack 188’s Committee chair -- THANK YOU!!!!

  • Cathy will be running the committee meetings, coordinating, and scheduling pack meetings beginning with rescheduling March’s Pack meeting (original date is in conflict with a Defino school function) and then confirm all remaining Pack meeting dates with the school.  She also will be having discussions of all Dens and Leaders to make sure all is going as necessary.

·        Debbie will be handling the monthly recognition and award items -- THANK YOU!!!!

·        Together they will work on new scout recruit nights, rechartering, major Pack events, etc.

 

Pack Picnic is confirmed for June 6th at Quail Hill

·  Laurie will be organizing the BB/Achery/Raingutter regatta schedule (Although we only had scheduled times for the BB& Archery, the regatta never had scheduled times before.  But this is something we might want to try to make it easier for John and avoid conflicts with adults leading more than one den.)

·  John will be running the Raingutter regatta

·  We need volunteers to chair this event — preferably NOT den leaders.

 

Summertime events

·        Already scheduled:

1.                   June 6th – Pack Picnic

2.                 June 12th-13th – Council Family Camp

3.                 July 2nd  – Trenton Thunder game

4.                 Aug 30th – Blueclaws game

5.                 Any of the Quail Hill summer camp programs (Day Camp or Resident Camp)

·        Mary-Ann believes Terry is still interested in running a Rocket Launch (verified by Connie) and Catherine is still interested in coordinating the Keansburg water park (she is trying a date after school ends and camps begin)

·        The purpose of the Pack Summertime Award is to be awarded for attending Pack scheduled events.  Other events that are Cub Scout related do not necessarily qualify unless they had been agreed upon and posted for all.  All pack events must be approved by the committee in advance, have a person willing to chair it, and be presented to the pack before the summer begins.

 

Looking ahead

  • Lisa and Mary-Ann need to view budget but it looks like we are in okay shape
  • We need to keep up with making the pack fun & involving kids with skits, songs, and games. We need to keep parents involved as well, not only as volunteers but they should be included in gathering activities, games, etc.
  • At the March committee meeting, we will plan summer activities (We need time to pass out fliers at April Pack Meeting and have time to collect them at the May Meeting.)
  • Debbie passed out the scouting for food bags to leaders.  Den leaders are asked to distribute these at a den meeting of their choice but with enough time to tell the boys that all donations should be delivered to the March Pack meeting. (date TBD)

January 11th Pack 188 Committee Notes

 

Ø  PWD Weigh-In

·         Leaders should remind ALL scouts that cars MUST be in by Jan 17th at the Goldstein house: 40 Waterford Ave Morganville, NJ

·         Times: Fri. 9am-7pm/Sat. 11am-7pm/Sun. 11am-5pm

·         Note: Cars can be weighed on Fri. and/or Sat and then taken home to make adjustments.  Cars brought Sunday afternoon will be dropped off only.

·         Laurie will try to suggest each car’s award (ie. Hottest, most amazing, etc.). All leaders are welcome to offer suggestions as well, if and when they come by to weigh-in

Ø  Scout Sunday at Morganville United Methodist Church – rescheduled to Feb 7th – need to have good representation (Mary-Ann will confirm time of service)

 

Ø  Blue and Gold

·         Payments Due on Jan 21st ; scouts should give these to their den leaders who will then hand the whole den’s in together.  (Please note on the slips if parents have children under 2 and, if families have more than 1 scout, where each parent/siblings wish to sit)

·         Leaders please bring your photo to the pack meeting

·         Catherine handed out two booklets--one to update leaders on the B&G and the other that listed a history of scouting.

  • Webelos I (Rattlesnake Patrol) will do the opening in the booklet.
  • John will share the history of scouting with audience participation directed by the Webelos II (Eagle Patrol)
  • There was a question of skipping skits since many scouts will be involved in this opening, but several den leaders still felt 5 minute skits are an important tradition that are beneficial to scouts.  Therefore, each den can decide if they wish to perform.  (Currently, the Rattlesnakes, Bear dens 16 & 14, Wolf den 11 and Tiger dens 2 & 4 have decided to do skits.  Laurie’s den will probably do the Beatles’ “Today is your birthday”)

Ø  Committee structuring meeting for the Pack

Ø  Monday, Feb 8th

Ø  Leni Hughes will most likely be stepping down as our Unit Commissioner and will be asking for a replacement from Council as she has a new job on Monday nights and since that was determined to be the only night that worked for our committee she would not be able to make any meetings.

December 10

Notes from December 2009 Committee Meeting

Thank you to all who were able to attend Tuesday’s committee meeting and my apologies, once again, for the last minute change in date/location and to those who were unable to make it because of that.

Please note that Harry Cross who is our liaison to our sponsoring organization was able to join us this month but arrived late (after some had left) and stayed well after everyone had left to discuss some issues.

One issue that is NOT in the notes is that dens using the church for meetings MUST be on the church calendar. So, for Den #2 that is ONLY the FIRST Friday of the Month and for Den#4/#14 (either) you are scheduled for EVERY Wednesday. If you need to use the church at any other time, PLEASE coordinate through me first.

You will find attached a copy of the notes from the  meeting. Please read through them carefully as a number of issues have come up about how the Pack as a whole has not really been following some of the BSA guidelines. We would like to get ourselves “back on track” before bad habits take over.

 

Please let me know if you have any questions or concerns that cannot wait until the January Committee Meeting.

December’s Pack meeting: FRIDAY, Dec. 18th

·         Door duty: Connie’s Wolf Den #11*

·         Gathering: Each den will build a sculpture with the materials provided.

·         Opening: Darren’s Bear Den #14*

·         (Finishing creating/exhibiting sculptures if needed)

·         Awards/Recognition**: Assistant cub master Adam Yee

·         Skit/game: Laurie’s Den 16

·         PWD cars and directions will be distributed***

·         Invitations for B&G distributed to be returned by Jan’s pack

·         Lock-in balance money due ($15/scout) to Catherine

·         Pack T-shirts for new scouts (this year and those who joined last year): see Mary-Ann during pack mtg to get correct size—they are same design but may run smaller

*Evidently Laurie mis-typed in last month’s committee notes so there might be a discrepancy as to which dens have opening and which have door, but has been corrected above.

**The scouting for food patches will be announced but distributed by the den leaders, who will also give out the patches from summer camp.  (As usual, all items of recognition for scouts must be submitted by their den leader to Mary-Ann via email by the Friday before the Pack meeting, which is Dec. 11th this month.)

***We will be using the council PWD rules, which are stricter than previous years.  Please read them carefully.  They will be posted on the website as well.  (Darren will look into having a demonstration for new scouts at the den level rather than at the end of a pack meeting.)

 

Harry Cross/status of Pack 188:

·          Harry Cross is the liaison from the church to our Pack.  He attended the committee meeting to sign leader apps and check the status of our Pack. (Unfortunately, he arrived late so although we had a good turnout some of you may have left without hearing all of his concerns).

·          Mary-Ann reviewed the actual number of new scouts/leaders.  She is still waiting on an application from some new leaders.  Of course, those new leaders (who haven’t already done so) will have to be trained in February.

·          Harry pointed out that there are local camping grounds Webelos might be interested in utilizing for an overnight campout off of Brown Road that can lend itself to bike riding the Henry Hudson trail.  This makes it much easier for those families who must come & go due to sports and other commitments.  Contact Harry or Robert DeMarco for more information.

·          Harry also mentioned that Sun, Feb. 14th is scout Sunday at Morganville United Methodist and Pastor Marv has once again invited us to participate. We hope to have a good turnout, especially since this marks the 100th year of scouting.  Attendance was low last year and he would like to see an improvement.  When Laurie pointed out that the 14th is Chinese New Year, Cathy mentioned the 3-day weekend from President’s day and Mary-Ann pointed out Valentine’s Day, he said he would talk to Pastor Marv about possibly changing the date.  (We also mentioned the following week is the B&G while the weekend before is the lock-in.  Still, we felt the 7th might have a better response; scouts could go even if they are tired from the Friday night Franklin Institute lock-in.

·          Harry Cross has been personally involved with cub scouts and boy scouts for the last 12 years with his own sons.  Some issues were brought up that need to be discussed.  Since Harry is our liaison to the church (our sponsoring organization), if he feels we are not conforming to the BSA Policies, we could lose our charter.  Unfortunately, he took a strong stance on several things:

o         Den leaders must be trained and in uniform.  They must be apparent at all meetings.

o         At the tiger level, the ratio of scouts to adult partner must be 1:1 at all functions (den mtgs, pack mtgs go-see-its, etc.)  (Parents who find it necessary to leave must take their scout with them)  In additions, each Tiger adult should, in fact, be taking a turn to run a monthly den meeting and a go-see-it. Please let the committee know if this is a problem.

o         Every den (all levels) should have a minimum of 2 meetings per month.  A go-see or trip that includes the majority of the den is an acceptable replacement although at wolf or above it really should be in addition to a meeting.

o         Any leader who is not following the BSA policies by doing these things needs to be confronted by the cub master to follow the rules or be asked to step down. 

o         It is great that we were able to form tiger dens with families that have been in scouting with older siblings because they know the ropes but if they do not follow the policies then they are setting a bad example and must be approached.

o         Parents have older scouts but either never had a tiger or simply don’t remember, must be reminded how the tiger year is different than all other years. It is meant to introduce the boy to scouting and teach the parents that it is a joint activity for them to share and have time together. It is NOT a drop-off.

 

January:

·          Committee meeting: Jan 11th at church – ALL COMMITTEE MEMBERS/LEADERS NEED TO ATTEND as many of the issues that Harry raised need to be discussed with more of you in attendance. Start time will be 7:30 pm.

 

·          Weigh-in:

o         A new scale needs to be purchased as the current one is not consistent.  Laurie will look into the scout shops’ as well as Bed, Bath & Beyond.

o         We need to correct the problem of the long lines at weigh-in and a never-ending pack meeting the day before the races.  Mary-Ann suggested having a deadline to weigh cars in from 7-7:30 on the 21st but Cathy said the line would be awful.  With help from Harry Cross, the committee came up with a solution we will be implementing this year.  The week before the PWD, Laurie will have the scale and let everyone know what days/times it is available for a preliminary weigh-in.  If you wish to leave your car after weighing it at this time, you will be allowed.  Otherwise, you will need to bring it back on the assigned day for your rank, weigh it and leave it. (Example: Webeleos I&II  Mon, Jan 18th, Bears: Jan 19th, Wolves & Tigers: Jan 20th )  The days and times are still to be finalized; Laurie and Mary-Ann will look into what days/nights will work.

·           Pack: Thursday, Jan 21st

o         Opening: Eagles

o         Connie: speaker-approx. 45 min

o         All dens: Voting on most original for all other dens

·          PWD Friday, Jan.22nd

o         Cathy: refreshments—will have to charge this year due to funds

o         Laurie: Geodisc dome-newspapers, staplers, masking tape & other games if need be

o         Schedule of races TBD and will be announced in December newsletter

o         Need new photographer for scouts w/ their car*

 

Looking ahead:

·          John brought up the idea that was suggested at round table—having the Friends of scouting come to the B&G, but Laurie and Mary-An felt it might put people off to pay for a lunch celebration and be asked for more money.  They both felt waiting until March’s Pack meeting would be better. Other leaders that were present were in agreement.

·          John mentioned that the Helps books are being done away with, as are the monthly themes.  He offered a web site for good ideas: www.scouting.org/cubscouts2010

·          The committee felt the low turnout for scout camp this year was due to the council’s failure to have a representative come talk about it.  We all remember how enthused scouts were the years before.  Mary-Ann suggested that John mention it at the next Round table.

·          February is B&G where scouts are supposed to celebrate earning their rank by finishing ALL requirements.*  Mary-Ann questioned the status of those dens whose leaders were present and they all said they were on track.  (*Families members are invited to attend to honor this achievement and congratulate those scouts who are crossing over to boy scouts.  Also each den will perform a skit.  The invitations will include a price for each person.  Lunch is included but we ask all families to bring a dessert that would feed a dozen people.  No other awards are given that month; they will be held and distributed at March’s Pack meeting instead.)

·          Dens should be presenting skits, songs, jokes, den projects, etc. at monthly Pack meetings.

·          We still are working on a volunteer list but now thinking of a more direct approach as Harry suggested. (Mary-Ann was thinking of a parent meeting while entertaining the scouts with games for this month or next, but should parents be approached at the den level?  Laurie thought if John, Adam and/or Mary-Ann had the opportunity to go to each den, there would be better results.)

·          If there is anything a leader or parents would like to discuss please come to the next committee meeting.  It is a great place to have your voice heard, your concerns addressed, and ideas shared.

November 11

November Committee Meeting Notes

·                    Low attendance at meeting: John, Adam, Connie, Catherine, Laurie, Debbie & Marlene

·                    Marlene asked if we could circulate a scout directory with names/phone numbers of leaders & scouts in case we need to contact each other as had been done in prior years.

·                    Connie said Terry would like a list of scouts since he is still waiting for some to hand in the popcorn forms and pick prizes.

·                    John was able to buy the cheer book he was looking for. However, it was not helpful so he wants to work with Adam to have games to use when we need fillers.  Laurie said she would make a list for them.  She will also adjust the charade game we didn’t use last month to it the hero theme and would help run games when needed.

Pack 188’s Budget:

·                    Due to the low sales of popcorn, we discussed either adding $10/scout to the lock-in or $10/family at the June picnic.  Laurie said that we should collect for the lock-in and keep our options open to collect again in June in case we need to buy a new PWD track.*  Catherine added that other packs in Freehold have had scouts pay fully so asking for a partial amount should be fine.  Everyone agreed.  Debbie even suggested $15 rather than the $10 Mary-Ann mentioned prior.  (*The track we currently use is borrowed from a friend of the Landi’s and was promised through Jan. 2010.  Back in Sept., we had mentioned using popcorn sales to buy a new track but the sales were low.  Marlene asked about buying the track that we currently borrow.)

·                    This lead to a discussion of how to keep our expenses down.  Connie talked about future B&Gs being “pot-luck” at firehouses.  Marlene explained that was what the pack used to have.  Debbie said it could be organized by den (One den would do different pasta dishes while another den could do desserts, etc.)  Likewise, the June picnic could also be pot-luck as a trial run.  Marlene said each family could bring their own beverage.

Pack 188’s PWD:

·                    Although many attendees liked the idea of a Sat. pwd, we ran into several difficulties.  Due to finances, we don’t have the money to rent Defino on a Sat.  The REC would have the same problem in addition to availability issues.  There was also a concern for scouts’ conflicts due to Chinese school, basketball, etc.

·                    Since Mary-Ann had already secured Defino for the traditional Fri. night after the Thurs. pack meeting, we decided the pwd will be at Defino on Jan. 22nd

·                    At the Jan. Pack meeting, cars will be weighed in by Laurie.  The same rules we used last year for qualifying to race will apply. 

·                    To make the long meeting interesting, Connie has reserved a guest speaker and Laurie offered to create games for John and Adam to do with the scouts.

·                    It was suggested that Laurie have the official scale at her house this year due to her availability this and future years.  Catherine also asked if Laurie would consider keeping cars until the PWD for those scouts who wanted to drop them off early and she agreed.

Pack 188’s lock-in:

·                     Since there is a limit of 80 spaces, Catherine will be keeping track of the order people paid.  You can drop it off to her before the pack meeting or at the pack meeting*.  (*She will be at the back of the cafeteria when you walk in to collect forms & payment.  Currently, do not include payment for the scouts.)

·                    If we run out of spots, we can then try to secure more.  Otherwise, we will suggest younger scouts to attend with only one adult and/or having one adult bring multiple older scouts.

Nov Pack Meeting (11/19): theme “Cub Scout Salute”

·                    Debbie will be outside collecting the scouting for food.

·                    Bear den 14 (Darren) will have door duty.  (Reminder: If you arrive late, you will need to go around to the back and knock on the door.)

·                     Gathering: hero word search* (*John and Adam got this at the round table.  Connie was a little apprehensive about it since it seemed challenging but Catherine and Laurie thought it was good since the younger scouts have the bobcat ceremony.)

·                    Opening flag: Wolf den 11 (Connie) – nontraditional

·                     Bobcat ceremony (John & Adam) (John is abbreviating last year’s since we have more scouts.)

·                     Recognition/awards* (*Any recognition items need to be emailed to Mary-Ann by the den leader on or before 11/13)

Dec Pack Meeting (FRIDAY 12/18):

B&G:

·                    Catherine has already secured the hall, DJ, the arrow of light presenters and many raffle items, including tickets to Medieval Times, Garden State Museum, show in Red Bank, etc.

·                    She also has assigned parents of her den to help in the areas that she felt would suit them best.  (Laurie=crafts, Connors=blow-ups, Mary-Ann=scout gift boxes).

·                    Debbie & Marlene suggested looking at Kohl’s for the boxes.

Misc:

·                    Mary-Ann suggested that the popcorn distribution/prizes wait until December’s pack meeting.  However, Laurie pointed out that all the monies are due before that.  Connie said Terry might be able to start filling the orders as early as next Sat. afternoon so people should call him.

·                    Mary-Ann is still working on making a volunteer list to distribute at the den level.

·                    Mary-Ann is still working on placing the t-shirt orders.

Notes from October 12th’s Pack 188 Committee Meeting

We would like to praise the Eagle patrol for helping the tigers at the new scout orientation before last month’s pack meeting. They did a great job!

John and Adam have been able to attend the District Roundtables and, therefore, been able to keep us in the loop about upcoming events, council concerns, new awards for leaders & scouts, etc. Darren has been attending as well.

New Pack book bags have been ordered for all new scouts (including those who were new last year). They should arrive and be available at the Pack meeting. Mary-Ann apologized for not ordering the t-shirts yet but promises to do so soon (hopefully this week).

The pack will be doing Scouting for Food twice this year with a bigger emphasis on the latter (in the Spring). Bags will be distributed at the October pack meeting and collected in November. Food pantries in the area are registering more and more families in need.

Currently, there have been 2 popcorn blitzes for our Pack, both at Walmart. Unfortunately, they have not brought in the amounts as previous years. Therefore, individual sales are more important than ever. (Connie’s den’s blitz might not occur on 10/17 due to WaWa’s new rules to get corporate approval first. Laurie has the next scheduled blitz on 10/24 at the A&P.)

Terry reminded that any scout who fills up their popcorn order form completely should send an electronic copy to council for the weekly raffle drawing.

John thanked Terry for all of his efforts as Popcorn Kernel and reminded everyone that we REALLY need to recruit new popcorn chairs going forward so that Terry does not "burn out". It is a thankless job and takes a lot of "behind the scenes" work that would go much easier with more than one chair. Think about any other parents who may be able to lend a hand.

NEW:

Due to complaints from the Board of Ed about the front door being propped opened and children running in the halls unsupervised:

o

Dens on "door-duty" will open the doors as people arrive from 7:15-7:25. At 7:25 one parent from the den will remain at the door till 7:30. Anyone who arrives afterward will have to walk around the back to the cafeteria door.

o

There will now be a parent standing guard at the entrance to the cafeteria to prevent children from entering/exiting into the hallways without adult supervision.

Opening flag ceremony:

o

In response to complaints of pack meetings going long, dens scheduled for the opening flag ceremony will be begin promptly at 7:30 regardless if the whole den is present or not.

o

Mary-Ann suggested that dens are not obligated to have traditional opening flag ceremonies and can be more creative.

Therefore, John will have a cauldron of jokes, run-ons, etc. to liven up the crowd. Laurie also added a gathering game.

A list of Advancements/Awards should be given to den leaders. LEADERS must email complete list to Mary-Ann no later than the Friday prior to a pack meeting.

Mary-Ann will be giving a volunteer sign-up list to den leaders to pass around at their den meetings.

Please keep track of attendance at den meetings as there is a perfect attendance award given out in May for all those scouts who attended ALL of their den meetings (Pack meetings and "go see its" are NOT included for this purpose)
